This Privacy Policy explains how Coachify LLC, an Ohio limited liability company ("Coachify," "we," "us," or "our"), collects, uses, and shares information when you use our website at usecoachify.com and related services (the "Service").
When you use Coachify, we collect your email address, the videos you upload for analysis, and the reports generated from that analysis. We also collect basic account information such as your name and any profile details you choose to provide, along with payment information handled directly by our payment processor, Stripe - we never see or store your full card details. If you sign in with Google, we receive your name, email address, and profile picture from Google - we do not receive your Google password or access any other Google account data.
We also automatically collect usage information (such as which pages you visit and which features you use), how you arrived at our website (such as the referring website or the link or ad you clicked), basic technical information (like browser type, device type, IP address, and approximate location derived from it), and error/diagnostic data collected when something goes wrong, to help us identify and fix issues. We use functional cookies to keep you signed in and remember preferences like light/dark theme, and analytics cookies and similar technologies to understand how the Service is used. Advertising cookies are limited to the Meta Pixel, described below.
We use your videos and account information to generate coaching reports, track your history and patterns over time, process payments, monitor and fix technical errors, and operate and improve the Service. We use your email address to send account-related messages, such as sign-up confirmation, password resets, billing confirmations, and usage notifications you can turn off in your account settings. We do not sell your personal information to third parties, and we do not use your uploaded video content for advertising.
Your videos and reports are stored securely and are only accessible to you through your account. Uploaded video files are automatically and permanently deleted from our storage 90 days after upload. Your generated report - including your score, written feedback, and timeline data - is retained as part of your account history independent of this video deletion. You can request deletion of your account and associated data at any time through your account settings.
We use a small number of third-party service providers to operate Coachify, each of which processes information only as necessary to perform their function for us:
Your uploaded video content, along with data derived from it (such as transcripts and extracted frames), is transmitted to Anthropic and OpenAI solely to generate your analysis, and to Railway and Supabase for processing and storage. These providers process this data under their own privacy and data-handling terms and are not permitted to use your content to train their models on our behalf, except as their own applicable terms with us may otherwise provide.
PostHog records how you use our website, including the pages you view, the buttons you click, how you arrived at the site, and your device and browser type. It also records sessions, meaning a replay of how you moved through the site. Recordings capture what appears on the page, which can include text from your reports; passwords and other form fields you type into are masked and not recorded. When you are signed in, this activity is linked to your account email so we can understand how people use the Service. We use this information only to improve Coachify and our marketing, and PostHog processes it on our behalf under its own data-handling terms, described in PostHog's Privacy Policy.
When you visit our website, the Meta Pixel collects information about your visit, such as the pages you view, whether you create an account or start a subscription, your browser and device type, and cookie identifiers. Meta uses this information to measure and improve our advertising and may combine it with other information it holds about you under its own terms, described in Meta's Privacy Policy. Your videos, scripts, and analysis results are never shared with Meta. You can control how Meta uses this information for ads in your Facebook or Instagram ad preferences.
You can access, update, or correct your account information at any time from your account settings. You can opt out of optional notification emails in your account settings, though we may still send essential service and billing communications. You can request a copy of your data or ask us to delete your account and associated data by emailing us at the address below - account deletion is also available directly from your account settings.
The Service is not directed to, and is not intended for use by, anyone under the age of 18. We do not knowingly collect personal information from anyone under 18. If we become aware that we have, we will delete that information.
